 Definition

    An administrative secretary is a person performing secretarial and administrative functions in a company or organization.


Duties and Responsibilities

    An administrative secretary must perform the following duties:

•    Arrange and coordinate meetings and appointments
•    Handle incoming and outgoing correspondences
•    Maintain an organized system of records and files
•    Manage calendar of activities
•    Prepare agenda and minutes of the meeting
•    Prepare letters, memoranda, reports and presentations
•    Receive and make phone calls
•    Receive clients and visitors


Requirements

1.    Education

A high school diploma is required to be employed as an administrative secretary. However, advanced skills and training is a plus.

2.    Knowledge

An administrative secretary must have a working knowledge of the following:

•    Administrative procedures like record-keeping, word processing, presentations, stenography and audio transcription
•    Customer service principles and practices
•    English language including grammar, spelling and proper use of punctuations

3.    Skills and Abilities

An administrative secretary must possess the following skills and abilities:

•    Effective communication skills
•    Excellent computer and technology skills
•    Ability to multi-task


Earnings

The average annual pay is between $20,000 to $50,000, based on the person’s experience, skills and years of service.
